What goes wrong today

A lapsed member who is still your donor
A member’s dues expire in March, and in April they give to the emergency appeal anyway. In a membership system and a donation tool that never talk to each other, that reads as a lapsed member and an unrelated new donor, not the same relationship asking to be renewed.
Renewal season is a reconciliation project
Around the anniversary date, someone exports the processor’s dues receipts and matches them against the membership roster by hand, chasing the gap between who was billed, who paid and who quietly let a card expire. It is the busiest week of the year, spent on arithmetic.
Event income that forgets who attended
Conference and gala registrations are usually a separate payment flow from dues. The finance report shows the event turned a surplus, but nobody can say how many attendees were lapsed members the event should have converted back.
Chapters keep their own spreadsheets
A local branch collects its own dues top-ups and event fees, records them however its treasurer prefers, and sends the national office a summary once a quarter. By the time it arrives, it is a total with no member behind it.

Is the person who pays dues the same person who gave to the appeal?

Most associations run dues billing, event registration and voluntary giving through different tools, each with its own idea of who a member is. The consequence is not just duplicate records. It is that you cannot see the relationship a member actually has with you.

What renewal season looks like when nothing needs re-matching

A renewal cohort is the group of members whose dues fall due, or have just lapsed, in a given window. Managing it well means knowing, on any given day, who renewed, who is overdue and whose card failed quietly. Not reconstructing that picture once a quarter from a processor export.

Dues charges are ingested as they happen, so Donativus keeps renewal status current instead of assembled after the fact. A failed recurring dues charge shows as a state on the member record, not an absence that only surfaces when someone finally checks. That turns the reconciliation week at renewal time into a targeted renewal campaign your team runs, not a spreadsheet your team rebuilds.

Conference and event income without a separate cash-up

Conferences, galas and chapter meetings are often the largest single income event an association runs, and they usually get reconciled separately from everything else, because the payment happens on a different day through a different terminal.

Event registration and on-site payments ingest into the same transaction ledger as dues and gifts, carrying the campaign or event they belong to. That makes it possible to see, in the same view as renewal status, which attendees were lapsed members, which were guests worth a membership offer, and whether the event moved people toward renewing or only toward attending once.

Seeing chapters and branches without turning them into separate organizations

A local chapter is not a separate legal entity the way a foundation’s member organizations are. It is a group within the same association, usually with its own volunteers and its own idea of how to run a meeting. Donativus reflects that with campaign and source attribution rather than separate tenant workspaces. A chapter’s dues top-ups, event fees and local appeals carry that chapter as their source, so national office reads chapter-level performance without every branch needing its own instance of the platform.

That is a deliberately lighter arrangement than the entity-level isolation built for foundations governing legally distinct organizations. An association with genuinely separate incorporated affiliates would use that model instead. Most chapters and branches do not need it.

01 Can we keep our existing membership management system?

Yes. Your membership database stays your roster of record. Contact and dues history come across through a supported import or CRM connection, and Donativus reconciles dues, event and giving activity against it.

02 Do lapsed members show up separately from donors?

No. Dues payments, event registrations and gifts resolve to the same member record, so a member who lapses on dues but keeps giving shows up as one relationship with a renewal opportunity, not two disconnected entries in two systems.

03 Can a chapter see only its own members and events?

Chapters and branches are represented through campaign and source attribution within the association’s workspace, so chapter-level activity can be filtered and reported on separately from the national view. Associations with legally separate affiliate organizations should use entity-level workspaces instead.

04 Do we still pay our card processor for dues and event fees?

Yes. Donativus does not process payments. Your dues and event providers capture and settle the money and charge their own fees. Donativus reads, normalizes and reconciles the resulting data. Processor charges are separate from what you pay us.

05 Can we see renewal rate and event conversion as figures we can act on?

Yes, through the built-in fundraising and membership analytics, which read from the same reconciled transaction and member data as the rest of the platform. Power BI is available as an optional addition for associations that already report there.
